Handing over of accommodation and keys takes place on the agreed date. You should check and record the condition and inventory of the accommodation with your new tenant when the tenant moves in and when the tenant vacates the property. We can provide you with appropriate forms.
When all accounts concerning the tenancy have been settled, you draw up the deposit account and refund the remaining deposit to the tenant.

For security reasons, you should never hand over keys before the tenant has paid his security, the deposit. Normally this is two months’ rent and is to be paid by the tenant in cash or by bank transfer. You are obliged by law to keep the deposit separate from your private assets. We therefore recommend you open a separate savings account or deposit account.
Draw up a full inventory of all items included in the accommodation. It helps your tenant to see which items are already available and which are still required. The list is also useful for you as a landlord: It makes it easier and faster to check completeness of the inventory when the tenant moves in and when the tenant vacates the accommodation. Any damage or loss can be verified and recorded in a checklist. Your HomeCompany can provide you with appropriate forms.
There are a variety of methods available to account for electricity. One fair and simple method is to re-register with the electricity supplier in the new tenant’s name. Or you can continue to pay yourself, and charge your tenant a monthly down-payment. When the tenant vacates the accommodation you can measure actual consumption at the respective meters and offset the difference against the deposit or refund excess payment to the tenant. The third option is to charge a fixed monthly flat-rate for electricity. However, you are then not entitled to any supplementary claim.
The property should have a telephone connection. If required, the tenant normally registers for such himself. Internet access has become increasingly important. Telephone and/or internet flat-rate packets or the use of W-LAN or surfstick solutions are often attractive to prospective tenants.
As main tenant, landlord or owner you should have adequate insurance coverage for household contents. In the case of furnished tenancy, inventory items remain your property and must be insured by you. If there is evidence that the tenant has caused damage to your inventory, he must pay for such damage. The deposit is for such purposes. As an additional security it is beneficial if the tenant verifies private third party liability insurance.
When calculating the rent you should consider all operating and ancillary costs. This all-inclusive rent makes it easier for potential tenants to compare costs and to plan their finances.
